Grants may be requested for a variety of purposes, such as:
- Travel for a specific scholarly and/or professional contribution (paper presenter, panel participant, workshop leader, keynote speaker, session chair, board of directors meeting, etc.). Submit evidence of a non-predatory conference. Acceptable forms of evidence include the conference’s affiliation with or organization by a reputable academic or professional association; information on its history; a publicly available program or proceedings; a clearly defined peer-review process for submitted work; sponsorship by a recognized academic publisher, society, or university; and details on keynote speakers, as well as the conference’s organizing board or committee, with their institutional affiliations.
- Travel expenses connected with on-going research projects. Submit a short description of the project and how the requested travel contributes to this project.
- Journal first-time or R&R submission fees (for A or B level journals as defined by the ABDC list). Submit by email the name of the journal and paper, submission status, ABDC listing, and receipt.
- Purchase of survey data, including paying survey participants. Submit IRB approval, a short description of the research project, and proof of projected cost.
- Academic organization membership fees. Submit supporting invoice. (This should first be charged to the individual faculty member’s $500 faculty development FOAP.)
- Training and development travel for research-related activities. Submit a short description and proof of projected cost.
Travel pre-approval and reimbursements must be entered in Emburse with appropriate receipts. If the expense is non-travel related, then receipts must be provided for reimbursement.
After being notified by the chair of the Development and Research Committee that their grant application has been approved, the faculty applicant, not office managers or the administrative coordinator, is responsible for entering their estimated travel expenses into Emburse for preauthorization. The chair of the committee must copy the Director of Undergraduate Programs and the COB administrative coordinator in their communications to faculty.
Faculty, not office managers or the administrative coordinator, are responsible for entering their expenses and receipts after they return from their travel into Emburse within a maximum of 10 business days after trip completion.
NOTE: All purchases of non-consumable items made with UMW grant funds (such as equipment, software, books, etc.) are the property of UMW because they have been purchased with Commonwealth of Virginia funds. These items are not to be retained by the researcher but are instead to be turned over to the University when the grant project is completed.
General guidelines for decisions about Faculty Development and Research Supplemental Grant requests:
- Applications for different purposes (e.g., conference travel and supplies) should be submitted separately and not combined into a single application.
- Supplemental Development Grants may not be requested for research stipends, payments for students, equipment purchases, gift cards, or for purchases for classroom and teaching uses.
- Individuals making a Supplemental Faculty Development and Research request must be employees of the University at the time that the project will be initiated and completed.
- The grant requested must have a clear and direct connection to the faculty member’s professional development and to their work at the University.
- The grant requested must have a clear connection to the strategic plan of the university and the college.
- If the grant requested supports the college’s target United Nations Sustainable Development goals of 4 and 8, it must be stated so in the application.
